Start with people, hours and available restrooms
Share the guest count, event length, whether alcohol will be served and whether usable indoor facilities remain available. A backyard party with access to the house differs from a public event relying entirely on temporary restrooms. Use the quantity planner to prepare for a conversation, then confirm the final setup.
For a casual gathering, standard units and a separate wash station may suit the brief. For a hosted reception, compare a flushing unit with a trailer. Ask for the specific equipment photos before choosing on the strength of the word “deluxe.”
Berkeley public-event details that change the plan
The City’s special-event guidance requires a restroom and accessibility plan. It calls for at least 10% accessible portable toilets, with at least one at the event site: 12 total toilets means at least 2 accessible units. Review restroom clusters and any other applicable requirements too.
For events covered by those conditions, portable toilets and sinks may arrive no more than 24 hours before the event and must be removed within 24 hours afterward. Confirm these windows before agreeing to an early-weekend delivery arrangement. The City also requires proof of the toilet/sink order in the applicable permit process.
Check the current application status, venue rules and complete sanitation requirements directly with the City; restrictions and event-specific conditions can affect approval. City of Berkeley special-event permits ↗
Build access into the site map
Mark toilet locations, washing, queues and the usable guest approach. Preserve emergency access and arrange service access where a longer event requires pumping or restocking. For campus or other managed property, obtain the property operator’s approval; a city rental quote is not permission to use a venue.
Confirm the handoff before the event
Give a reachable contact, venue entrance and backup placement. Ask whether any advance driver call is confirmed or only requested. Agree on who will be present for delivery, how a locked gate is handled and who requests collection after the event.
